Students & Groups
Students are the core of your Matheia account. Each student record holds contact information, billing details, and links to their events, notes, and files.
Student records
Each student has a first name, last name, email, phone number, preferred language, hourly rate, and currency (PLN, EUR, or USD). The email is used to send event links and connect the student to their portal account. The hourly rate and currency are used when calculating invoices from completed events.
Adding a student
Go to Students in the sidebar and click "Add student." Fill in the required fields — first name, last name, and hourly rate are essential. Email and phone are optional but recommended. Choose the currency that matches your billing arrangement. Save, and the student appears in your list.
Invoice details
Each student has an optional invoice details section for billing. Choose between Individual and Company buyer types. For companies, enter the company name and tax ID (NIP). For both types, you can provide a billing address — street, postal code, city, and country. These details are carried over automatically when you create invoices for the student.
Student detail page
Click any student to open their detail page. Here you see their full profile, event history with statuses, tutor notes (private or shared with the student), and files. You can edit the student's information, add notes, or delete the record. Notes marked as "shared" are visible to the student in their portal.
Groups
Groups let you organize students who attend sessions together. Create a group from the Groups page — give it a name, set an hourly rate and currency, then select the students who belong to it. When you create an event, you can choose a group as the participant instead of an individual student. All group members are automatically added as participants. This saves time when scheduling recurring group classes.
