Students & Groups

Students are the core of your Matheia account. Each student record represents your relationship with a learner and links to their sessions, notes, and files.

Student records

Each student record stores the tutor-student relationship, account status, billing readiness, and links to sessions, notes, and files. For unlinked prospects, tutors can keep a draft name and email address. Once a student account is linked, the student account owns identity and billing data.

Adding a student

Go to Students in the sidebar and click "Add student." Email is the only required field. You can also enter a draft first and last name for easier recognition before the student links an account. After linking, the student account becomes the source of truth for identity and billing.

Invoice details

Billing details are managed by the student in the student portal. A linked student fills in their billing profile once, and Matheia uses that information for prepaid lesson flows and invoice buyer data. Tutors can see billing readiness on the student record, but they do not edit the billing profile directly.

Student detail page

Click any student to open their detail page. Here you see relationship status, account status, billing readiness, session history, tutor notes (private or shared with the student), and files. For unlinked prospects, tutors can still edit the draft identity. After account linking, identity and billing are managed by the student account. Notes marked as "shared" are visible to the student in their portal.

Groups

Groups let you organize students who attend sessions together. Create a group from the Groups page — give it a name, set an hourly rate and currency, then select the students who belong to it. When you create an event, you can choose a group as the participant instead of an individual student. All group members are automatically added as participants. This saves time when scheduling recurring group classes.
